RFID Door Lock Buying Guide

RFID door locks are the most widely used door lock solution in the hotel industry. The difference between IC cards and ID cards, Mifare compatibility, card issuance process and PMS docking capabilities determine the use experience 5 years after purchase. This article gives an executable selection list based on the procurement process.

How RFID door locks work

The RFID door lock reads the room card chip data through the card reading module, compares it with the authorization information built into the door lock, and then drives the lock tongue to unlock. The entire system consists of door locks, room cards, card issuers and (optional) PMS management software.

The card reading distance is usually within 0-5cm (ISO 14443 A/B), and the sensitivity affects the unlocking experience; it is recommended to test the compatibility of different brands of cards before purchasing.

The RFID solution has the highest maturity and a complete accessories and maintenance network, making it a safe choice for hotel procurement.

IC card and ID card: core differences

IC cards (such as Mifare S50/S70) have encryption chips, can write multi-sector data, support multiple uses of one card (access control + elevator + consumption), and are highly secure; ID cards (such as EM4100/T5577) only read fixed numbers, are low-cost but easy to copy.

Mid- to high-end hotels generally use the Mifare solution; budget hotels and renovation projects commonly use ID cards to control costs.

Confirm when purchasing: the card types supported by the card reader module (Mifare S50/M1/T5577, etc.), and whether mixed upgrades are supported.

The card issuance process is connected with PMS

The card issuance system includes card issuance software, card issuer and blank cards. The door lock system that supports PMS docking can automatically write cards when guests check in and automatically cancel permissions when checking out, reducing front desk operations.

Mainstream PMS (such as Opera, Xisoft, Bianyanghong, etc.) all have mature interfaces; suppliers are required to provide docking cases and test environments before purchasing.

List of permission management capabilities: floor/area authorization, time permission, one card with multiple locks, and blacklist effective immediately.

Adaptation of lock body and door thickness

Hotel lock bodies are commonly adapted to door thicknesses of 38-60mm, and the installation hole positions must match the existing door; for renovation projects, it is recommended to provide photos and dimensional drawings of the door openings first.

The lock body material (zinc alloy/stainless steel panel) affects durability and appearance. Stainless steel panels are recommended for high-wear environments such as corridors.

Mechanical keys must be provided for emergency use in power outage scenarios. Emergency keys should be retained at the hotel front desk and a registration system should be established.

Purchasing List and Acceptance Testing

Acceptance list: card reading sensitivity, low battery alarm, door not closed alarm, mechanical key emergency, anti-pry alarm, unlocking record storage and export.

After the batch arrives, 5%-10% will be randomly inspected and more than 500 unlocking cycle tests will be conducted to confirm that there are no card reading failures and incorrect unlocking.

Suppliers are required to provide: product certificates, certification documents (CE/FCC/RoHS), parameter tables and installation drawings.

Supplier selection advice

Give priority to suppliers with their own factories and complete production lines, and confirm: OEM/ODM capabilities, sampling cycle, warranty period (recommended ≥ 2 years) and after-sales response time.

When enquiring, provide: model, quantity, door thickness, unlocking method and target market. The supplier will provide a configuration plan and quotation within 24 hours.

It is recommended to request samples for actual testing before placing batch orders, and small batch trial orders (50-100 sets) to verify quality and delivery time.
