One of the core costs of operating an apartment is the tenancy exchange process: key recovery, password reset and door lock maintenance. Proper selection of smart locks can reduce the cost of renting a single room by more than half. This article is geared towards apartment operators and properties, providing complete key points from solution comparison to batch deployment.

Three core challenges in apartment security

The first challenge is permission recovery: after the tenant quits the lease, the key and password must be invalid immediately, and the traditional mechanical lock can only change the lock cylinder; the second challenge is temporary authorization: viewing, cleaning, and maintenance require limited-time permission; the third challenge is unattended: the door lock status (power, abnormal unlocking) needs to be remotely visible.

These three types of requirements determine that apartment smart locks must support: remote authority management, temporary passwords, unlocking records and low power alarms.

The larger the scale, the higher the value of management software - for apartments with more than 50 units, it is recommended to choose a brand with a management backend.

Comparison of three schemes of password/fingerprint/APP

The password solution is the lowest cost, and the password can be deleted remotely when renting out, but the password may be forwarded; the fingerprint solution has a good experience, but fingerprints must be deleted before renting out, and the equipment failure rate is slightly higher; the APP/Bluetooth solution supports remote door opening and unlocking records, and requires the tenant to install the APP, and there are thresholds for short-term rental scenarios.

The mainstream combination in the industry: password (main) + temporary password (guest) + APP (administrator), with fingerprint as an optional enhancement.

The door lock should support offline password distribution (not relying on Wi-Fi) to avoid being unable to open the door when the network fails.

Remote management and temporary passwords

The management APP should support: issuing/recycling passwords in batches, generating time-limited passwords (such as 2-hour viewing passwords), viewing unlocking records and power, and remotely opening the door (emergency).

Temporary password policy recommendations: use a one-time password for viewings, a time period password for cleaning, and a one-time valid password for maintenance.

Data security: Select the brand of local storage + encrypted transmission, manage the account and enable two-step verification.

Rent exchange process and cost optimization

The cost of traditional lock replacement: lock cylinder + labor is about 50-100 US dollars per time; under the smart lock solution, the replacement only needs to delete the old password and issue a new password in the background, and the cost is close to zero.

Realize "same-day check-out and same-day rental": a new tenant's password will be issued before cleaning is completed, and the handover process will be completely online.

It is recommended to establish a device account: room number, model, installation date, firmware version, to facilitate batch maintenance and quality assurance management.

Bulk purchasing and installation

Key points for bulk purchasing: Unify the model (to facilitate spare parts and operation and maintenance), confirm the door type adaptation (door thickness/guide plate), and require the supplier to provide installation training and drawings.

The installation rhythm is recommended to be divided into buildings and batches, and the pilot project should be conducted for 10-20 days to verify the usage feedback before full rollout.

Spare parts stocking: 3-5 sets of lock bodies/panels/batteries for every 50 units to deal with daily failures.

Budget and vendor recommendations

Budget reference for a single room: entry-level model is 60-120 US dollars (password + temporary password), mainstream model is 120-200 US dollars (including APP management and unlocking records), and high-end model is more than 200 US dollars (including fingerprint and face).

Supplier evaluation: self-owned factory, OEM/ODM capabilities, warranty ≥2 years, after-sales response time (recommended within 24 hours), bulk order delivery time (recommended 15-30 days).

Suggestions for the procurement process: Sample testing (10 sets) → Pilot installation (10-20 rooms) → Place orders in batches, verify with data before placing larger quantities.
